Identify the equipment first
Keep a readable photograph of the equipment label if it can be obtained safely, together with the indoor and outdoor model references. The manual and installation documents complete the picture. Do not identify a refrigerant from the casing colour or the approximate age of the system.
When requesting assistance, provide the model and describe what you have noticed. You do not need to calculate a charge or purchase refrigerant. The professional will establish the checks appropriate to that equipment and the particular intervention, including the relevant safety instructions.
A service is not automatically a top-up
A visit should not be defined in advance as adding gas simply because the room feels insufficiently cool. Several different issues can affect comfort, so the system needs assessing before the work is decided. Ask for an explanation and a proposed intervention rather than an automatic remedy based on a phone call.
Do not handle valves, connections or pipework, or use refrigerant refill products sold for domestic use. Equally, do not ask someone moving furniture or decorating the room to alter the circuit. Refrigerant work needs the appropriate professional, not just someone available on the same day.
Separate user care from technical work
Owners should carry out only the tasks assigned to them in their own manual and only where these can be done safely, such as certain accessible-filter care. Opening the refrigerant circuit, repairing connections and handling refrigerant are a different category of work.
The European Commission sets certification requirements for relevant professional activities involving this equipment. That does not establish one universal annual inspection requirement for every appliance. Specific obligations need checking against the installation, the activity and the rules that apply to it.
Plan renovations and replacement too
Before renovating, ask whether the work affects the unit, its pipework or service access. Do not allow the system to be dismantled as though it were simply an appliance to unplug. Include any necessary specialist intervention in the renovation programme and agreed scope.
When replacing a system, agree how the previous equipment will be removed and which documents will accompany the new installation. Retain intervention records and the installed model references. This record is more useful when requesting future assistance than a screenshot of the original sales offer.

Send the equipment reference and explain what needs checking or replacing so we can assess the scope of the work.
